Rent Receipt Format for HRA: Free Word, Excel & PDF

A rent receipt is the landlord's written acknowledgement that a tenant paid rent for a specific period. It normally identifies the tenant and landlord, the rented property, amount, period covered, payment details and landlord's signature. Salaried employees may use rent receipts as supporting evidence for a House Rent Allowance (HRA) claim. Download the free Word or Excel template below, or view the filled sample PDF.

A simple monthly rent receipt can read like this using fictional details:
HOUSE RENT RECEIPT ā SAMPLE / DEMO ā Receipt No: RR-007
Received a sum of ā¹28,000 (Rupees Twenty-Eight Thousand only) from Priya Nair towards rent for the residential property at Flat 304, Sample Residency, Indiranagar, Bengaluru 560038 for the period 01/10/2026 to 31/10/2026.
Payment mode: UPI Ā· Reference: UPI-EXAMPLE-007 Ā· Payment date: 05/10/2026
Landlord: Suresh Rao Ā· PAN: ABCDE1234F (fictional) Ā· Signature: __________
At ā¹28,000 a month for twelve months, the annual rent would be ā¹3,36,000. Because aggregate rent for the tax year exceeds ā¹1,00,000, landlord PAN is required in the employee's Form No. 124 HRA particulars. The sample PAN is fictional and must not be used in a real claim.
Use the Word template for a blank editable receipt with space for the landlord's signature and stamp details where applicable. The Excel register records twelve months of rent, calculates annual rent and flags when the ā¹1,00,000 landlord-PAN threshold is crossed. It can also flag cash receipts above ā¹5,000 for a stamp-duty check. The sample PDF shows a completed fictional receipt. All three files download without signing in.
Replace every example value with the actual tenancy and payment details. If a signed receipt is required, print the completed document and have the real landlord sign it.
HRA exemption is available under the old tax regime and is not available under the new tax regime. For tax year 2026-27, Rule 279 of the Income-tax Rules, 2026 says the exempt amount is the least of:
- The HRA actually received for the relevant period,
- Rent actually paid minus 10% of salary for that period,
- 50% of salary where the rented accommodation is in Mumbai, Kolkata, Delhi, Chennai, Hyderabad, Pune, Ahmedabad or Bengaluru; 40% of salary for any other place.
For this rule, salary includes dearness allowance where it forms part of the terms of employment and excludes other allowances and perquisites. See the notified Income-tax Rules, 2026.
The eight-city rule applies from 1 April 2026. Under the earlier rules applicable to FY 2025-26, the 50% category covered Mumbai, Kolkata, Delhi and Chennai, with other locations using the 40% limb.
Landlord PAN and Form No. 124: From 1 April 2026, Form No. 124 replaces the earlier Form No. 12BB for employees furnishing claims and supporting particulars to their employer. Rule 205 requires the landlord's name, address and PAN where aggregate rent paid during the tax year exceeds ā¹1,00,000. The employee must also disclose the relationship with the landlord, if any. See the Income-tax Rules, 2026.
If the rent exceeds the threshold but the landlord cannot provide a PAN, ask your employer's payroll team or a tax professional how the claim should be handled rather than entering an invented or unrelated PAN.
These rules determine the tax exemption and payroll documentation; your employer may also have its own evidence requirements.
A rent agreement records the terms of the tenancy, including the parties, property, rent and tenancy period. A rent receipt acknowledges a particular rent payment. A bank, UPI or cheque record shows that money moved. These documents serve different purposes, so keeping them together makes an HRA claim easier to support if your employer or the tax department asks for evidence.
- Enter the tenant name and the rented property's actual address.
- Add the landlord's name and the PAN where required for the HRA particulars.
- Choose the months covered and enter the rent actually paid for each month.
- Add the real payment date and payment mode for each period.
- Review the information, then download the required monthly receipts or annual set.
The BillGenerator rent receipt generator can create twelve monthly receipts in one go, which can be convenient when an employer requests month-wise HRA proof.
Monthly receipts make it easier to match each rent payment to the corresponding month, especially where the rent changes, a tenancy starts or ends during the year, or you move between properties. Some employers may accept consolidated evidence, while others ask for month-wise receipts. Follow your employer's documentation policy. If you changed properties or landlords during the year, keep the records for each tenancy separately.
Article 53 of Schedule I to the Indian Stamp Act, 1899 provides stamp duty for a receipt acknowledging money or property whose value exceeds ā¹5,000; the central Schedule specifies a ā¹1 duty. In practice, a ā¹1 revenue stamp is commonly used for cash rent receipts above ā¹5,000, with the landlord signing across the stamp.
Stamp law can be affected by state amendments and the nature of the receipt, so do not assume one rule applies identically in every state or to every payment mode. For rent paid by UPI, bank transfer or cheque, the electronic or banking record itself provides additional payment evidence, and many employer processes do not ask for a revenue stamp. If the receipt will be relied on for tax, employment or legal purposes, check the applicable state rule and your employer's documentation requirements.
Use these templates only to record rent actually paid under a genuine tenancy. Do not invent receipts, inflate amounts, use another person's PAN or signature, or claim rent that was never paid. HRA claims may be checked against rent agreements, payment records, landlord details and other supporting information. The fictional sample is provided only to explain the format and must not be submitted as proof of a real rent payment.
- The amount on the receipt does not match the actual bank, UPI, cheque or cash payment.
- The property address differs from the rent agreement or HRA declaration.
- Landlord PAN is omitted where aggregate rent during the tax year exceeds ā¹1,00,000.
- Applicable stamp-duty requirements for a cash receipt above ā¹5,000 are ignored.
- A previous tenant, landlord, PAN or property address remains in a reused template.
- Receipts are generated for months or amounts for which rent was not actually paid.
Can I download a rent receipt format in Word?
Yes. The Word template above is a blank editable receipt with fields for the tenant, landlord, property, rent period, amount, payment details, PAN where applicable, signature and stamp information. Complete it using the actual tenancy and payment details.
Is landlord PAN mandatory for HRA?
Under Rule 205 of the Income-tax Rules, 2026, Form No. 124 requires the landlord's name, address and PAN where aggregate rent paid during the tax year exceeds ā¹1,00,000. It also asks for the employee's relationship with the landlord, if any. If the threshold is crossed and the landlord cannot provide a PAN, check with your employer or tax adviser rather than entering an incorrect number.
Is a revenue stamp needed on a rent receipt?
For cash receipts above ā¹5,000, a ā¹1 revenue stamp is commonly used under the receipt provisions of the Indian Stamp Act. Stamp-law requirements can vary because of state amendments and the circumstances of the receipt. For digital or banking payments, keep the transaction record as supporting evidence and follow the applicable state and employer requirements.
Can I pay rent to my parents and claim HRA?
A parent can be a landlord in a genuine tenancy, but the arrangement must reflect real rent payments and actual occupation of the rented property. From tax year 2026-27, Form No. 124 specifically requires disclosure of the employee's relationship with the landlord. Keep the rent agreement and payment trail, and the landlord should account for genuine rental income under the applicable tax rules. Claims involving relatives can receive additional scrutiny, so obtain tax advice for your circumstances.
Do I need to upload rent receipts with my income-tax return?
Rent receipts are supporting records rather than documents that you normally attach to an income-tax return. Keep the receipts, rent agreement and payment records so they are available if required. Your employer may separately ask for HRA evidence while calculating salary TDS.
Can I generate 12 months of rent receipts at once?
Yes, provided the receipts correspond to rent actually paid for those months. The rent receipt generator can create a year's monthly receipts in one PDF, while the Excel register keeps the payment history together.
Download the editable files above, or generate 12 months of rent receipts online using your actual payments. For related documentation, see the Word rent receipt format, the driver salary receipt guide and the bills and receipts hub.
